Customer service is how we help customers before, during, and after they use our product or service.

  • Be helpful, respectful, and clear.
  • Take ownership of the customer's question.
  • Make the customer feel heard.
  • Focus on solutions, not excuses.
Simple rule: Treat every customer as if their issue matters—because to them, it does.

First impressions

The first few seconds strongly influence how customers judge the whole interaction.

  • Greet the customer promptly.
  • Use a calm, friendly tone.
  • Introduce yourself when appropriate.
  • Use the customer's name naturally if you know it.
Better: “Good morning. My name is Maya. How can I help you today?”
Avoid: “Yes?” or “What do you need?”

Listen before solving

Good service starts with understanding the real issue.

  • Let the customer finish speaking.
  • Ask short clarifying questions.
  • Repeat the issue in your own words.
  • Confirm what outcome the customer wants.
Useful phrase: “Just to make sure I understand: you received the invoice, but the amount is different from what you expected. Is that correct?”

Handling difficult situations

Customers may be frustrated. Your job is to stay calm and move the conversation toward a solution.

  • Do not argue or become defensive.
  • Acknowledge the customer's frustration.
  • Explain what you can do next.
  • Escalate when the issue is outside your authority.
Example: “I understand why that is frustrating. Let me check what happened and see what I can do to help.”

Close the interaction well

A good ending builds confidence and reduces repeat contact.

  • Summarize what was done.
  • Explain the next step and timing.
  • Ask whether anything else is needed.
  • Thank the customer.
Example: “I have reset your account and you can try again now. Is there anything else I can help you with today?”
